HomeMy WebLinkAboutR-2022-123 VC3 Authorization to Exceed $25K for Hardware, Software, and Professional Services Purchases RESOLUTION NO. 2022-123 A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF DANIA BEACH, FLORIDA, AUTHORIZING PURCHASES OF HARDWARE, SOFTWARE, AND PROFESSIONAL SERVICES FROM VC3, WHICH EXCEED THE ANNUAL VENDOR THRESHOLD TOTAL AMOUNT OF TWENTY-FIVE THOUSAND DOLLARS ($25,000.00)IN FISCAL YEAR 2021- 22; AUTHORIZING SUCH PURCHASES WITHIN THE INFORMATION TECHNOLOGY FUND APPROVED ANNUAL BUDGET APPROPRIATIONS; PROVIDING FOR CONFLICTS; FURTHER, PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, the Dania Beach Code of Ordinances, Chapter 2, Article 1, Section 2-10, "Monetary thresholds for certain purchases and payment disbursement authorizations", Subsection (a), sets the monetary threshold at$25,000.00 for a vendor each fiscal year; and WHEREAS, in its efforts to increase cybersecurity, redundancy, and accessibility, IT is seeking to utilize Microsoft SharePoint to upgrade the City's intranet website and to migrate City files from an on-premises file server to a cloud-based file storage method; and WHEREAS, IT has received three quotes for the intranet project and will be moving forward with VC3 who submitted the lowest cost proposal; and WHEREAS, IT has also received quotes for the file system migration and VC3 has provided the lowest cost proposal; and WHEREAS,the combined cost of these projects will exceed the $25,000 vendor threshold with VC3 for fiscal year 2021-22, requiring City Commission approval; NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF DANIA BEACH,FLORIDA: Section 1. That the above "Whereas" clauses are ratified and confirmed, and they are made a part of and incorporated into this Resolution by this reference. Section 2. That all purchases made from VC3 shall be subject to approved annual budget appropriations and in accordance with the City's procurement policies and are authorized to exceed the annual amount of Twenty-Five Thousand Dollars ($25,000.00)purchase threshold for a single vendor for fiscal year 2021-22. Section 3. That all resolutions or parts of resolutions in conflict with this Resolution are repealed to the extent of such conflict. Section 4. That this Resolution shall become effective upon its passage and adoption. PASSED AND ADOPTED on August 23, 2022.
