HomeMy WebLinkAboutR-2022-126 City Hall Chamber A-C Unit Retroactive Approval for Emergency Repairs by Master Mechanical, Inc. to Exceed $25K RESOLUTION NO. 2022-126 A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF DANIA BEACH, FLORIDA, TO RETROACTIVELY AUTHORIZE APPROVAL OF AIR CONDITIONING REPAIR SERVICES TO BE PURCHASED FROM MASTER MECHANICAL SERVICES, INC. FOR FISCAL YEAR 2021-2022, IN AN AMOUNT THAT EXCEEDS THE ANNUAL VENDOR THRESHOLD AMOUNT OF TWENTY-FIVE THOUSAND DOLLARS ($25,000.00); PROVIDING FOR CONFLICTS; FURTHER, PROVIDING FOR AN EFFECTIVE DATE. WHEREAS, the Charter of the City of Dania Beach, Part III, Article 3, Section 4, Subsection (j), authorizes the City Manager to purchase supplies, services, equipment, and materials for the City government in amounts in excess of the established monetary threshold without competitive bidding and without advertising for bids if he/she is authorized to do so in advance by a resolution adopted by the City Commission; and WHEREAS, the Dania Beach Code of Ordinances, Chapter 2, Article 1, Section 2-10, "Monetary thresholds for certain purchases and payment disbursement authorizations", Subsection (a), sets the monetary threshold at Twenty-Five Thousand Dollars ($25,000.00) for a vendor each fiscal year; and WHEREAS,the City Hall Commission Chambers air conditioning unit compressor failed and needed to be replaced immediately; and WHEREAS, Public Services Department received three quotes, with Master Mechanical, Inc. being the lowest quote received to replace the City Hall Commission Chambers air conditioner unit(A/C) in the amount of$23,109.86; and WHEREAS, given the cumulative expenditures previously totaled during the year with Master Mechanical, Inc., PSD sought and received the City Manager's authorization to retroactively request the City Commission approval for exceeding annual vendor expenditure threshold; and WHEREAS, PSD is requesting the City Commission to retroactively approve exceeding the vendor threshold with Master Mechanical, Inc. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF DANIA BEACH, FLORIDA: Section 1. That the above "Whereas" clauses are ratified and confirmed, and they are made a part of and incorporated into this Resolution by this reference. Section 2. That the City Commission retroactively authorizes repair services rendered by Master Mechanical Services, Inc. to replace City Hall Chamber A/C in the amount of $23,109.86, an amount that will exceed the annual $25,000 threshold for a single vendor due to the cumulative amount of expenditures over previous months. Section 3. That funding will be appropriated from the Facilities M&E Account 505- 39-02-539-64-30 to cover the cost of this repair. Section 4. That all resolutions or parts of resolutions in conflict with this Resolution are repealed to the extent of such conflict. Section 5.
